Privacy policy

Effective: August 10, 2022

This privacy policy (“Policy”) describes why and how we collect, and process information provided to or collected by us. We take pride in the relationship of trust we have built with our constituents over the years, and we are dedicated to treating your personal information with care and respect. We follow this Policy in accordance with governing law. This Policy is effective as of the date above and may be changed by us in accordance with the procedures described in the “Changes” section below.


Who We Are

As used in this Policy, “we”, “us” or “our” refers to the Michigan Council of Women in Technology Foundation (“MCWT”). We are located at One Towne Square, 6th Floor, Suite 690, Southfield, Michigan. We offer various programs, activities, and services dedicated to making the state of Michigan the number one state for women in technology. 

Definitions
The following terms, as used in this Policy, have the following meanings:

  • “Personal information” means information that identifies (whether directly or indirectly) a particular individual, such as the individual’s name, postal address, email address, telephone number, or birth date. When anonymous information is directly or indirectly associated with personal information, the resulting information also is treated as personal information.
  • “Anonymous data” means information that does not directly or indirectly identify, and cannot reasonably be used to identify, an individual person.
  • “Aggregate data” means information about groups or categories of people, which does not identify and cannot reasonably be used to identify an individual person.


What We Collect

We collect two basic types of information – personal information and anonymous data – and we may use personal information and anonymous data to create a third type of information, aggregate data. For example, we collect:

  • Constituent information you provide when you become a constituent of MCWT, including your first name and last name, physical address, email address, phone number, and birth date
  • Registration information you provide when you create an account or sign up to participate in one of our events or activities, including your first name and last name, physical address, email address, username, and password, and, in some cases, health and medical information
  • Transaction information you provide when you request information, purchase a service from us, or make a monetary donation to us, whether on our sites or through our applications, including your postal address, telephone number and payment information
  • Information about awards, advancements, recognition, and training you have received in connection with your participation in our programs
  • Information you provide in applications provided by us or our vendors
  • Information sent by you either one-to-one or within a limited group using any message, chat, post, or similar functionality we may employ, where we are permitted by law to collect this information
  • Information you provide to us when you use our site or applications, our applications on third-party sites or platforms such as Neon One, LLC’s Customer Relationship Management software, social networking sites, or link your profile on a third-party site or platform with your registration account
  • Location information when you visit our site or use our applications, including location information either provided by a mobile device interacting with one of our sites or applications (including through beacon technologies), or associated with your IP address, where we are permitted by law to process this information
  • Usage, viewing and technical data, including your device identifier or IP address, when you visit our site or use our applications, how much time you spend on our site or using our applications, and when you open emails we send


How We Collect Information

We collect your personal information when you provide it to us while requesting services or information from us, registering with us (e.g., for a program, an event, or an activity), entering a contest or promotion, responding to surveys, or otherwise interacting with us. 

Like most websites and online services, MCWT and our vendors automatically collect certain types of usage information when you visit our website or those hosted by our vendors, read our e-mails, or otherwise engage with us. This information is typically collected through a variety of tracking technologies, including cookies, web beacons, Locally Stored Objects (LSOs such as Flash or HTML5), log files, and similar technology (collectively, “tracking technologies”), and we may use third party providers to collect this information on our behalf. These tracking technologies collect information about how you access and our site (e.g., referring / exit pages and URLs, how frequently you access the site, the pages you view, the links you click, and other actions you take); information about your browser and information about the device(s) you use to access the site (e.g., Internet Protocol (IP address), browser type, browser language, Internet service provider, device type, model and manufacturer, a unique ID that allows us to uniquely identify your browser, device or account, operating system brand and model, and whether you access the site from multiple devices). We may also collect information about your geographical location data. We may collect analytics data, or use third-party analytics tools, to help us measure traffic and usage trends for the site and to understand more about the demographics and behaviors of our users. We may also work with third party partners to employ technologies, including the application of statistical modeling tools, which permit us to recognize and contact you across multiple devices. Although we do our best to honor the privacy preferences of our users, we are unable to respond to Do Not Track signals set by your browser at this time.

Most browsers are initially set up to accept cookies, but you can reset your browser to refuse all cookies or to indicate when a cookie is being sent. However, some features and services (particularly those that require you to sign in) may not function properly if your cookies are disabled. You may also set your e-mail options to prevent the automatic downloading of images that may contain technologies that would allow us to know whether you have accessed our e-mail and performed certain functions with it. Deleting cookies does not prevent the collection of information through non-cookie technologies and does delete Local Storage Objects (LSOs) such as Flash objects and HTML5. 


How We Use Information

Consistent with applicable law and choices and controls that may be available to you, we may use information collected from you, or from devices associated with you, to:

  • Provide you with the services, and/or information you have requested or won (e.g., in a contest or promotion)
  • Communicate with you about your membership (or your expressed interest in membership), your account, or transactions with us and to send you information about features on our sites and applications or changes to our policies
  • Manage, accommodate, and administer your needs and choices (e.g., programming) as a participant in our events
  • Deliver relevant offers and promotions for our programs, events, and services or those of a third party, based on your activity on our website or applications
  • Track website usage for various purposes including website optimization, website improvement, sales, and marketing
  • Personalize content and experiences for you that reflect your choices and preferences
  • Provide useful features to simplify your experience when you return to our site and applications
  • Operate, understand, optimize, develop, or improve our services, events, programs, communications, and operations
  • Detect, investigate, and prevent activities that may violate our policies or be illegal
  • Send you information related to your charitable contributions
  • Use cookies and tracking technologies for advertising purposes. 


Sharing Your Information with Others

Please note that we may share your personal information:

  • With third parties providing services for us or on our behalf, such as order and prize fulfillment, package delivery, customer service, event registration management, facility rental, payment processing, advertising, marketing, or data analytics services. For example, data provided by you may be processed and stored using software or services provided by Neon One LLC, Momentive powered by Survey Monkey Apply, Salesforce, Microsoft, Wild Apricot, ClickBid, Perfect Event, Click & Pledge, AffiniPay, or other vendors and any such data will be subject to the respective vendor’s privacy policy. 
  • With others associated with MCWT. For example, this might include sharing information about awards, advancements, recognition, and training you have received in or through our programs. For example, we may also share attendee lists (which in some cases may include contact information) with attendees and/or sponsors of an event.
  • With third parties to enforce our policies and regulations, to ensure the safety and security of our constituents, employees and third parties, to protect our rights and property and the rights and property of our constituents, employees and third parties, to comply with legal process or in other cases if we believe in good faith that disclosure is required by law or if we have your consent.
  • We may share information in aggregated and/or anonymous form that cannot reasonably be used to identify an individual. For example, MCWT may disclose aggregated user statistics (i.e., the total number or percentage of MCWT users of a particular age range) in order to describe MCWT to current and prospective partners and other third parties, and for other lawful purposes
  • MCWT may release personal information if it has a good faith belief that access, use, preservation, or disclosure of such information is reasonably necessary to (a) satisfy any applicable law, regulation, legal process, or enforceable governmental request; (b) enforce applicable Terms of Service, including investigation of potential violations thereof; (c) detect, prevent or otherwise address fraud, security or technical issues; (d) protect the rights, property, or personal safety of MCWT, its users, or the public; or (e) as required or permitted by law.


Your Controls and Choices

You always have the choice to not provide your personal information to us or change your communication choices, but consequently you may not be able to receive certain services or participate in certain programs or activities. Depending on the Internet browser and device you use to interact with us, you may have the ability to control the use of certain tracking technologies through which we gather anonymous data. For further information about exercising these choices and controls, please see below.

  • Account Management. Our online systems provide certain functionality for updating your information. If you would like to update or correct any information not updatable on our website, please contact us.
  • Marketing. We may send you offers and promotions for our programs, and events, or those that we think may be of interest to you, and you may opt-out or unsubscribe from such offers by either following the instructions provided in our communications to you or changing your preferences in your account.
  • Tracking Technologies. We use cookies to track user activity on our websites and online services, but we do not collect personal information about your online activities over time as you move across other websites and online services. Web browsers can transmit Do Not Track (“DNT”) signals that indicate that a user does not wish to have activity tracked. Currently, no universally accepted standard exists for how to interpret such signals, and we do not respond to Do Not Track signals. Thus, whether or not you have turned on your DNT setting should not affect your experience or interaction with our websites or online services.


Children’s Privacy

Digital privacy is a component of MCWT’s commitment to youth protection and safety. As such, we do not intentionally collect the personal information of children under the age of 13 unless a child’s parent or legal guardian provides it to us. As a nonprofit MCWT is not governed by the U.S. Children’s Online Privacy Protection Act (COPPA).  Regardless, and consistent with COPPA, a parent may review or have deleted their child’s personal information and prohibit its further collection or use. If you have a request in relation to the personal information of your child below the age of 13, please contact us.


Data Security, Integrity and Retention

The security, integrity and confidentiality of your information are extremely important to us. We have implemented technical, administrative, and physical security measures that are designed to protect information from unauthorized access, disclosure, use and modification. From time to time, we review our security procedures to consider appropriate new technology and methods. Please be aware though that, despite our efforts, no security measures are perfect or impenetrable. We will retain your personal information for the length of time needed to fulfill the purposes outlined in this Policy unless a longer retention period is required or permitted by law.

If you have any concerns about the security of your account or the security of the service, we ask that you report your concern to us immediately. While we may not directly respond to all security concerns, we appreciate your feedback and take all reported concerns seriously.

Changes

From time to time, we may change this Policy to accommodate new technologies, industry practices, regulatory requirements or for other purposes. We will do our best to provide notice to you if these changes are material, either by direct notice or posting an announcement on the websites where this Policy is posted, and, if required by applicable law, we will obtain your consent.  Your continued use of the site following the effective date of such update constitutes your acceptance of the revised Policy. If you do not agree to any of the terms in this Policy or to any future terms in a future revision of this Policy, do not use or access (or continue to access) the site.
